Location: Belfast

The Project Support Analyst will work closely with the IP Data Analyst II and the Client Project Support Projects leaders. This person will be responsible for various project-related procedures, such as processing of incoming correspondence, identifying deadlines, updating the records in an electronic IP management system; data entry and maintenance; creation of records, and the operation of all IP project-related applications and fulfilling other duties as required ensuring the smooth and efficient handling of projects undertaken by IPSU. This position will be co-located with the IPSU team, taking day-to-day directions and work from the CPS Projects leaders, following the existing policies, practices and procedures within GSM.


  • Provide IP Transactional Support
  • Create and update records in the various IP management systems used by IPSU, observing agreed data entry guidelines and administrative procedures
  • Analyses, processes correspondence, forms and documents and identify action-required firm any of the stakeholders and coordinate as needed
  • Corresponds directly to clients, Firms' network of agents, Managing Offices, IPSU teams, and all stakeholders involved in the project
  • Carry out audits of IP records and take timely action in accordance to agreed procedures
  • Generate reports in various IP management systems such as e-docket, trademark / patent schedules, etc.
  • Analyze business-related requests/inquiries and applies resolutions in a timely manner
  • Review and process outside counsels' invoices
  • Analyze and assess project deliverables based on validity and applicability of similar experience and able to evaluate options under cases that are not covered by procedures
  • Assist in timely completion of ad hoc projects or tasks
  • Project Management
  • Liaise with other functions within the wider team and the Firm, and with the various agents, clients, managing offices in the implementation of projects
  • Monitors progress of the project and provides regular reports to leaders, managing office and clients
  • Utilizes project-related trackers to ensure efficient and accurate reports (e.g. summary and status tracker, invoice tracker)
  • Creates, sorts, and analyzes project-related reports and documents
  • Seeks feedback from mentors and Client Project Support leaders and actively applies feedback received to day-to-day work and strives to improve performance
  • Complies with all internal procedures and suggests areas for improvement in internal processes
  • Actively contributes to team knowledge base via cross training and knowledge sharing

Experience Required

Skills and Experience:

  • Some work experience
  • Experience working on IP matters is an advantage but not required
  • Strong word processing and spreadsheet skills (in particular, MS Word, PowerPoint and Excel)
