Description
The Training and Documentation Specialist I, IPTech Projects will support the Functional Specialists in the Project Edison team, who are responsible for gathering business requirements and acting as the primary point of contact for queries regarding the system. The individual plays an important role in the successful deployment and ongoing support of Project Edison, Baker McKenzie's project aimed at developing our Symphony intellectual property management system (IPMS) to replace our legacy system.
The role involves building documentation for the Project Edison team and creating streamlined processes and manuals for our Intellectual Property Support Unit (IPSU) and all IPSU stakeholders, including BM offices, clients, and agents.
Responsibilities:
To be a crucial part of the project team and have the following primary responsibilities:
- Create, maintain, and update documentation related to the development of the system
- Ensure that stakeholders receive proper training and have access to well-documented Symphony processes and manuals
- Ensure that these files are easily accessible and up-to-date
Training:
- Coordinate training programs, as well as develop and deliver training sessions for IPSU members and stakeholders (BM offices, clients, and agents) on Symphony usage, features, and best practices including operational processes
- Customize training materials to meet the specific needs of different user groups
- Provide ongoing support and address user queries related to Symphony
- Collaborate with subject matter experts to ensure accurate and up-to-date training content
Documentation:
- Create, manage, and maintain development documentation, comprehensive procedural documents, user manuals, and technical guides for Symphony
- Collaborate with cross-functional teams to gather information and interpret it for documentation purposes
- Review and edit documents to ensure accuracy, clarity, and compliance with company guidelines
- Develop a system for easy retrieval of Symphony-related documents
- Update documentation and maintain the centralized repository that is easily accessible
- Train IPSU members and stakeholders on accessing and utilizing the documentation effectively
Process Improvement:
- Identify opportunities to enhance existing processes and documentation
- Participate in continuous improvement efforts related to Symphony adoption and documentation practices
Other:
- Work closely with IPSU Director, Project Manager, Business Product Lead, Project Edison members (including other functional specialist team members), and Operations leaders and members, as well as BM technology teams, systems vendor, Baker McKenzie stakeholders, and clients for the successful implementation of the Project.
- Perform other tasks as may be required by the IPSU Management Team
Skills and Experience:
- Bachelor’s degree and with good academic credentials
- Proven experience in training delivery and technical documentation
- Excellent written and verbal communication skills
- Ability to work collaboratively with diverse teams
- Experience in system or IP-related projects is an advantage
- Experience in IP matters or enterprise technology solution projects is an advantage
- Strong analytical skills with the ability to create and interpret complex workflow diagrams
- Effective decision-making skills, provide solutions with the business objectives in mind
- A collaborative mindset, capable of working effectively with diverse teams and stakeholders
- Ability to prioritize and work independently with limited supervision
- Ability to stand pressure and work beyond normal working hours

- Ability to maintain the highest level of confidentiality
- Proficient in MS Office Applications particularly Word, Excel, Outlook, Visio, and website management. Proficiency in Tableau will be an additional asset
