Description

The Senior Legal Admin Liaison will demonstrate secretarial and administrative competencies to the highest level. You will provide first-class administrative support and secretarial service to several fee-earners such as Partners, Associates, and others as assigned within the litigation practice group.
 
Responsibilities:
  • Support local practice group tasks and requirements
  • Demonstrate knowledge of specific practice group activities/objectives (e.g. Document preparation for urgent jobs specific to the local market; Client intake (e.g. AML, engagement letters)
  • Strategic Liaison with Center Services ensuring full utilization and coordination of services at all times, reviewing materials as needed before sharing with attorneys
  • Navigate Service Now for various tasks including document services (typing, formatting), resolution of IT-related issues, access to basic financial reporting metrics (SAP)
  • Support junior team members, new secretarial staff, and secretarial manager with ad-hoc-focused activities
  • Attend meetings, take notes, and follow up on action items
  • Proactive complex diary management, call handling, and meeting organization
  • Support client activities and requirements in a proactive manner (first contact, resolve basic queries) 
  • Demonstrate high competency of practice group and deliver up-ward management to the highest standard
  • Collate and provide feedback with solution orientated mindset
  • Manage emails and in-box, assist with email filing into iManage
  • Support junior secretarial staff, mentoring/budding
  • Provide complex travel management support
  • Expert Billing support at all levels (e.g. WIP review, sending final invoices, collections management, accruals, etc.) 
     
Skills and Experience:
  • Strong knowledge and experience within the litigation practice area
  • Extensive experience working in a legal sector or other professional services environment
  • Advanced and specialized expertise, typically developed through a combination of job-related training and considerable work experience within several different practice and functional areas
  • 'Can-do' attitude, demonstrates proactivity and takes the initiative
  • Able to consistently demonstrate secretarial competencies to the highest level in all areas
  • Able to manage complex diary and calendar management activities
  • Strong document management skills
  • Exhibit passion for collaborating with internal clients and stakeholders
  • Strong technical skills, including proficiency in all software packages (Word, Excel, Outlook, PowerPoint, Access, Teams)
