Role Purpose
To provide versatile first-class administrative support directly to some Paralegals and other work providers. The role-holder will support the Legal Support Team Leader to ensure a high level of client service, provide quality administrative support, and contribute to the overall world-class 24-hour administration service.
Main responsibilities
- Collate and forward mail received for clients, while complying with their specific requests, and keeping records of all incoming and outgoing mail
- Undertake daily photocopying and scanning as requested by fee earners
- Email requested documents to the fee earners
- Organize and accurately prepare filing for the Filing Administrator, and assist the Filing Administrator in keeping existing records up-to-date; Arrange new files to conform to B&M's procedures; Maintain up-to-date lists of current files
- Undertake general filing administration, liaising with the Filing Administrator as appropriate
- Create statutory files
- Manage the filing of Companies House's documentation and keep records of documentation that has been filed at Companies House
- Upload and update documents and datasheets on SharePoint sites
- Proactively support client activities and requirements, liaising with clients, e.g, take messages, pass on information, deal with simple queries, meet and greet and client events
- Manage the production of all documents (even those not typed personally) from initiation to delivery back to the relevant fee earner, involving Document Specialists or the Document Support in the Manila Center as required
- To undertake limited typing, i.e. urgent short documents (digital and non-digital dictation).
- Ensure documents returned to the fee earner accurately reflect the original request before returning work, including proofreading the document, checking spelling, grammar, sense, amendments and presentation
- Work collaboratively with other secretarial support for the Department, to provide a responsive and professional administrative support service to fee earners and clients
- To ensure that there is comprehensive telephone cover across the department, following the standard operating procedure

Technical skills, qualifications and experience
- Previous professional services sector experience/background in an Administration or related role
- Working knowledge of the Firm's house style, document management system, templates and precedents
- Knowledge of Blueprint (specialist company secretarial package) and Companies House websites is desirable
- Consistently demonstrates administrative competencies to the highest Level in all areas
- High-level organizational skills
- 'Can-do' attitude
- Proactive, takes initiative
- Strong technical skills
- Proficient in all Microsoft software packages (Word, Excel, PowerPoint)
