The Senior Manager, Global Meetings & Events will focus on the successful organization and delivery of the Firm's Annual Meeting, the LA/NA America's Meeting, the Policy Committee Meetings, Global Practice & Industry Group meetings, various Chicago Conference Center and other meetings and events throughout the year taking place in all formats (virtual, hybrid and in-person).

The Senior Manager, Global Meetings & Events is responsible for the assessment, planning, and delivery of these global and regional meetings in collaboration with leadership teams, inclusive of the EC, Managing Partners, Firm partners, and business professionals, to develop internal meetings and external client events that align with Firm strategy. 

Responsibilities:
 
  • Project Management: Successfully and independently manage the organization and delivery of meetings through effective project management. Advise and guide partners, business professionals, and planning teams regarding meeting content, planning, liability/risk management, and logistical aspects of events. Lead and drive coordination among team members and with hotel partners and vendors globally. Actively seek and act on feedback to ensure continuous improvement in the quality of meetings. Drive alignment of events logistics on a global basis
  • Meeting and Events Planning and Management: Direct, lead, and/or undertake accurate, seamless, innovative, and cost-effective meeting & event planning services, including but not limited to the following components:
    • Site Selection and Request for Proposal (RFP) Development
    • Preparation & Distribution of Communications to Attendees
    • Guestroom & Registration Services
    • Management of Meeting and Social Events Logistics
    • Preparation of Meeting Collaterals (e.g., Name Badges, Tent Cards, Attendee Lists)
    • Coordination of Meeting Shipments
    • Post-Meeting Responsibilities
  • Contract Management: Manage hotel & supplier contract negotiations for meetings and events
  • Budget Management: Prepare budgets and manage various budget components for meetings, including post-event budget reporting; Develop and drive opportunities to reduce costs of events
  • Relationship Management: Successfully build and manage relationships with stakeholders across levels, customs, and cultures. Create, cultivate and manage productive relationships with Global and Regional hotel sales contacts (many of whom are Firm clients) and suppliers to ensure that specifications are understood and met by these vendors
  • Team Management: Supervise, motivate, coach, and direct various team members and colleagues to ensure efficient, prompt, and high-quality delivery of services; Work with the Director and other Senior Managers in implementing strategies to continuously develop the team to collectively achieve higher work value
  • Department Projects: Develop, contribute to or lead various department projects associated with consolidating and aligning best practices to further enhance existing event project management guidelines and procedures

Experience Required

  • Bachelor's Degree (meeting planning or hotel degree a plus)
  • Experience working in a law firm, professional service firm, corporate environment, or hotel
  • Experience in successfully navigating a complex law or business environment and able to move projects along or adjust to the needs of the organization or internal client
  • CMP designation is a plus
  • Involvement with hotel and hospitality industry through various associations
  • Extensive global strategic meeting & event management experience in a business-to-business environment (part of which should be at a senior management level)
  • Thorough knowledge of meeting management, hotel operations, and supplier management
  • Highly organized with a successful background in project management
  • Proven senior management level experience with managing multiple projects and competing deadlines
  • Outstanding accuracy skills and strong attention to detail
  • Strong analytical and problem-solving skills
  • Ability to analyze situations, think of the big picture, and demonstrate a pragmatic attitude towards problem-solving in a timely manner
  • Ability to identify and manage risks
  • Experience with managing conflict while demonstrating diplomacy and credibility
  • Expertise in budget and financial management
  • Senior management level experience with effective budget and financial management for meetings and events
  • Senior management level experience with negotiating global contracts, reducing potential liability and costs, and implementing contractual terms
  • Experience in successfully leading, developing, motivating, and coaching a high performing team
  • Excellent interpersonal skills with the ability to successfully coordinate projects with various stakeholders
  • Strong business communication skills (verbal and written)
  • Mastery of Microsoft Office suite of products
