Description
The Legal Secretary (Tax / Corporate & Securities) will provide secretarial and administrative support as required to attorneys.
Responsibilities:
- Prepare attorneys' correspondence, and other legal documents as requested
- Appropriately draft information on behalf of the timekeeper with little or no direction
- Manage attorneys' calendars (Tax and Corporate & Securities)
- Schedule and organize complex activities such as meetings, travel, and seminars
- Update and proof visual presentations
- Maintain and update the filing system for the attorneys; Retrieve information from files when needed
- Respond to regularly occurring requests for information
- Type general correspondences, memos, charts, tables, graphs, business plans, etc. Proofread copy for spelling and grammar making appropriate changes
- Make extensive travel arrangements (i.e., both Domestic and International travel; last minute)
- Prepare and submit expense reports
- Volunteer to assist others in practice groups and offices
- Understand Firm structure and available resources
- Look for ways to improve processes and/or procedures
- Collaborate well with others at all levels
Skills and Experience:
- High School Diploma or equivalent;(secretarial degree preferred)
- Must have legal secretarial experience in Tax and Corporate and work experience in a legal or professional services environment
- Excellent fine hand manipulation (heavy typing, dialling, filing); able to lift up to 25 lbs.
- Familiar with billing systems, client accruals and estimates
- A minimum of Intermediate knowledge of MSOffice - Word, Excel, and PowerPoint
- Intermediate knowledge of office systems (i.e., Intapp Time, Intapp Open, etc.)
- Can work independently prioritizing work and meeting intense deadlines; Works well under pressure
- Excellent English verbal and written communication skills

- Some analytical ability is required to find solutions to various administrative problems and prioritize workloads

This position is bonus-eligible and includes medical, dental, vision, and 401(k)benefits based on the number of hours worked. The US base compensation for this position is expected to be $100,000 to $105,000 annually if located in an office in the state of California. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
