Description

The Legal Secretary (Litigation) will provide litigation secretarial and administrative support as required to attorneys.
 
Responsibilities:

  • Excels with heavy scheduling
  • Manage and maintain calendars (Admin and Litigation)
  • Processing and managing vendor invoices
  • Experience in making extensive travel arrangements (i.e., both Domestic and International travel; last minute)
  • Schedule and coordinate complex activities such as meetings, events, and seminars
  • Screening Calls
  • Administrative responsibilities: preparing expense reports, checking requests, entering time into Intapp Time as requested, opening and distributing incoming mail, billing, etc.
  • Possess excellent written and verbal skills
  • Monitor and respond to incoming communications
  • Ability to appropriately draft information on behalf of the timekeeper with little or no direction
  • Formatting/revising briefs, pleadings, and other legal documents
  • Generating TOC/TOA for briefs
  • Experience with trial preparation and knowledge of all aspects of the discovery process, e-discovery, and have worked with an e-discovery vendor
  • Be familiar with certain Court Procedures, California Rules of Court, Federal Rules of Civil Procedure, etc. and assist with Court filings
  • Take initiative (i.e. trouble-shooting) in certain instances wherein insufficient and/or lack of instruction are provided
  • Maintain professional interaction with clients
  • Update and proof visual presentations

Skills and Experience:

  • High School Diploma or equivalent; secretarial Degree preferred
  • A large amount of legal/litigation secretarial experience; work experience in a legal or professional services environment
  • A minimum of Intermediate knowledge of Word, Excel, and PowerPoint
  • Intermediate knowledge of office systems (i.e., Intapp Time, Intapp Open, etc.)
  • Very able to complete fine hand manipulation (heavy typing, dialing, filing); sitting/standing/walking/stooping; ability to lift to 25 lbs
  • Can work independently prioritizing work and meeting deadlines
  • Knowledge of marketing resources and relevant materials
  • Excellent English verbal and written communication skills
