Description
The Legal Secretary will provide efficient and effective administrative services to fee earners such as Partners, Associates, and other work providers.
Responsibilities:
- Undertake specific practice group tasks and requirements
- Document production for urgent jobs
- Client intake administration (e.g. AML, engagement letters)
- Call handling/gate-keeping
- Pro-active diary/calendar management
- Manage logistics for internal and external meetings
- Manage the email and inbox of attorneys
- Utilize and review materials from Service Centers to ensure accuracy
- Support client activities and is in direct contact with clients and their assistants
- Proactively build and coordinate relationships with E2E services, other BM secretaries, and teams
- Document/email management (via iManage)
- Support junior members acting as buddy/mentor
- May provide billing support to attorneys
- Assist with clerical administration activities (e.g. time entry, printing/scanning, travel arrangements, etc.)
- Proactively manages competing deadlines
- May create and manage court bundle/documentation
Skills and Experience:
- A good length of experience working in a legal sector or other professional services environment
- Proficiency gained through job-related training and work experience
- Strong technical capabilities across MS Office Suite (e.g., Word, Excel, Outlook, PowerPoint, Access, Teams)
- Strong diary/calendar management skills
- Strong document management skills
- Able to problem solve based on standard ways of operating
- Able to manage competing tasks and demands
- Proactively seek to upskill
- Able to establish and maintain effective working relationships; a team player
- Strong communication skills, both written and verbal; Fluent in English is required
- Work requires continual attention to detail in completing assignments
