Responsibilities:
CLE Administration:
- Assist program owners in ensuring CLE eligibility of courses by reviewing materials (e.g. agendas, presentation deck, speaker CV, etc.) updating and providing records of attendance, evaluation forms, attorney affirmation forms, CLE code and/or CLE Language; processing CLE fees; and submission of CLE application forms
- Show proficiency in rules and requirements to different MCLE jurisdictions; serve as subject-matter experts of MCLE requirements for Illinois, New York, Texas, and California; research MCLE rules and requirements for jurisdictions outside the team's normal scope of support; and submit applications when necessary
- Ensure timely and accurate settlement and reallocation of CLE-related fees through the various State Bar websites and the Firm’s ChromeRiver system
- Oversee compliance, renewal, and payment of the Firm's Provider status to the different governing bodies and assist with audit activities
- Monitor compliance and updating all CLE/CPD/CPE credits for all fee earners including new joiners, full-time, part-time, newly qualified, and dual-qualified lawyers
- Send timely reminders to fee earners advising of accumulated CLE/CPD/CPE hours and any outstanding requirements before their due date
- Generate certificates of attendance, CLE/CPD/CPE reports for fee earners, and CLE forms (e.g. attendance sheets) as required
- Assist with data entry into viCLE, the Firm's CLE tracking database, and the maintenance of official CLE files, including electronic filings
- Monitor team mailbox and respond to CLE/CPD/CPE-related inquiries (e.g. managing all inquiries received from fee-earners concerning what constitutes CLE/CPD/CPE credit, etc)
- Display competency in the administrative management and maintenance of the team’s various platforms (e.g. viCLE, PLI, and ChromeRiver) to effectively support stakeholders
Skills and Experience:
- Bachelor’s degree with relevant work experience, preferably in a CLE or training role in a law firm or other professional services environment
- Exceptional organizational skills and attention to detail
- Excellent verbal and written English communication skills
- Excellent interpersonal skills with the confidence to interact across all levels of the Firm
- Highly collaborative, effectively working with others in a multi-cultural environment to achieve team success
- Strong client service orientation, problem-solving skills, and judgment about when to refer issues or problems to others
- Able to learn CLE requirements in multiple jurisdictions
- Proficient in MS Office, and agile in learning and adapting to new processes and or technology
- Experience in viCLE a plus
