Description
The Revenue Specialist will manage the account set up, billing, and collection arrangements, and inventory management for assigned Partner or Client portfolios. The role-holder will develop strong collaborative relationships with the attorneys throughout the full cycle of client invoicing and collections. The individual will analyze inventory statistics, prepare supporting documentation, and make recommendations based on business strategies as well as work closely with management on the training and mentoring of the billing team members.
Main responsibilities:
- Establish and maintain professional, collaborative relationships with attorneys, staff, and clients to ensure compliance with attorney and client specifications; manage all billing and collections processes within the POD from engagement through collections with tact, diplomacy, and effective negotiation skills
- Verify billing rates with Rate Analysts; review and implement outside counsel guidelines; monitor fee caps, tier discounts, and matter budgets; set and track alerts; liaise with the Firm’s Billing & Intake Committee regarding discounts, write‑downs, and write‑offs
- Manage the draft‑to‑final‑bill process with the Biller; ensure billing attorneys receive accurate drafts and return them promptly; oversee submission of finalized bills/eBills in the appropriate template; and confirm that final bills are submitted to the client and correctly posted in the accounting system
- Collaborate with eBilling Coordinators on new client account setups requiring eBilling; update required fields per client billing guidelines; submit invoices electronically; take accountability for successful submission; troubleshoot issues; and follow up proactively to ensure acceptance and timely payment of eBills
- Communicate directly with clients as needed; relay matter‑specific arrangements concisely to attorneys and clients; provide requested information on special billing or collection arrangements; and respond promptly to related inquiries
- Respond to inquiries regarding accruals, audits, and payment reports; recommend solutions based on billing trends and realization performance; and prepare ad hoc reports upon request
- Prepare effective monthly billing and collections forecasts for assigned portfolio(s); maintain updated draft status reports and collection projection tools; and monitor billing and collection progress daily
- Monitor the unapplied cash report and offer resolutions when applicable; assist Accounts Receivable with accurate payment applications; keep partners updated on available, unapplied and trust funds and apply funds when needed
- Establish effective back-up support processes (cross-training and knowledge transfer) to ensure seamless support for all portfolio matters
- Train and mentor POD team members and peers
Skills and experience:
Education & Experience
- A bachelor's degree in Accounting, Finance, Business, or equivalent experience
- Strong experience in law firm billing or the revenue cycle
- Experience in Financial Management Systems; familiar with Intapp and SAP is preferred
Revenue Cycle & Financial Acumen
- Strong understanding of the end-to-end revenue lifecycle including Matter Opening, Compliance, Rates, Billing, and Collections
- Demonstrated ability to perform complex accounting analysis using advanced Excel and reporting skills
- Elevated level of business acumen with the ability to assess information quickly and anticipate needs and outcomes
Technical Proficiency
- Advanced skills in Microsoft Excel, with strong competency in PowerPoint, Microsoft Word, and online research tools
- Able to ensure accurate data integration, maintain data integrity, and support process efficiency across systems
