We are looking for an IT Procurement Specialist, based at Baker & McKenzie Global Services, Chicago, to join our highly-regarded Global Procurement team. This new role will be an integral part to the Procurement Department's evolution and alignment of services with the Technology Department of the Firm, including but not limited to the sourcing of global Technology hardware, software licensing and professional services. Required Skills

The following are the Key Responsibilities of the position, all of which are to be performed in compliance with established policies and processes:

  • Sourcing of Technology products and services from appropriate suppliers through the full procurement lifecycle from proposal through contract implementation as assigned;
  • Working with Procurement Manager(s) in maintaining the procurement lifecycle strategy including monitoring of annual maintenance agreements and application of standard Procurement policies and procedures,
  • Assisting the Procurement Manager(s) in the construction and implementation of Global and Regional contracts for Technology products and/or services, maintaining the related contract records, including addressing contract renewals as appropriate;
  • Review and management of standard Technology product and service contracts to ensure compliance with Global Procurement’s standard contract terms and compliance to the Firm's General Counsel's requirements as assigned by the Procurement Manager
  • Maintain open communication with Technology stakeholders as necessary to identify and document business requirements for procurement initiatives, including resolving internal and vendor-related issues;
  • Working with Procurement Manager(s) to effectively manage the Technology vendor landscape to identify cost savings opportunities through spend aggregation, negotiated cost reductions or cost avoidance;
  • Manage complex recurring Technology cost transactions, from requisition to invoice submission, good understanding of global procure-to-pay strategies;
  • Develop and maintain a broad understanding of Technology and the Technology industry through the assessment of emerging and changing business and technical needs, as well as industry best practices;
  • Supporting Procurement Manager(s) with reporting, analysis, and project initiatives of the Global Procurement department as related to Technology initiatives;
  • Prepare and issue solicitation documents such as Request for Proposals (RFPs), Requests for Information (RFIs), and bids as assigned;
  • Ensuring adherence to documented Global Procurement policies, procedures, and processes
  • Analyze proposals received from vendors for Technology products or services as assigned to ensure consistency with Technology leader and Firm expectations;
  • Demonstrate continuous effort to improve operations, decrease turnaround times and streamline work processes;
  • Leverage Technology and creative thinking approaches to develop cost effective solutions and automation of Procurement processes;
  • Identify and initiate contact with potential technology suppliers as necessary to maintain efficiency for procuring Technology solutions, as assigned;
  • Assist with the development of vendor performance metrics for use in the selection of repeat or new business partners as assigned by the Procurement Manager(s);
  • Communicate status on issues and opportunities to internal and external management and suppliers;
  • Ensure adherence to documented purchasing policies, procedures, and processes for Global Services and other Firm entities;
  • Processing Purchase Orders for goods and services;

Experience Required

  • Bachelor's Degree or equivalent required
  • 3-5 years experience in an Technology purchasing or Technology procurement related role, preferably with a professional services organization;
  • A thorough understanding of Technology concepts and principles, with experience in procuring software licensing and network services;
  • Proven experience and knowledge of procurement principles and best practices associated with Technology contracts and related activities;
  • Familiarity with procure-to-pay operational processes, and familiarity of the impact finance and accounting principles have on procurement initiatives;
  • Must posses logic based problem solving skills, and attention to detail so that all responsibilities are carried out in the most precise and professional manner;
  • Ability to think "outside of the box" to optimize processes whenever possible is highly encouraged;
  • Ability to communicate both written and orally with internal customers, suppliers, and colleagues/teammates;
  • Ability to work independently and productively with limited supervision;
  • Ability to work well under pressure in a fast paced and dynamic environment;
  • Excellent MS Office skills, specifically Microsoft Word and Excel
