The Senior CRM Coordinator - Events team will provide administrative support for client events, run in London - a primary focus on being the end-to-end processing of client mailings in Interaction, the Firm's CRM system. They will work closely with the London Events team which delivers c.160 virtual and in-person events per year.

This role is best suited to a process-driven individual who is flexible, able to follow processes whilst also using their own initiative, has excellent communication and accuracy skills, and is able to work independently towards deadlines and common goals. Prior database experience is desired given the focus of the role.

Responsibilities:


InterAction administration (75%)

  • Work independently to provide end-to-end administration support for client events through InterAction by following pre-defined processes including bespoke instructions from the London events team and working on weekly work lists provided by three members of the team, such as:

Mailing list set up:

  • Create the event folder;
  • Build the mailing list;
  • Process amendments to the mailing list;
  • Produce invitations and external facing event communications using Emerge;
  • Create ReAction Server Forms and carrying out testing on invitations.

Preparing the client mailing:

  • Run the necessary pre-mailing checks including several conflict checks to ensure client relationships are maintained and a number of GDPR checks to ensure legal regulations are followed

Event lead up:

  • Process undeliverable invites;
  • Log client responses;
  • Create various mailing lists to enable the London team to write to clients to confirm their place and to send clients a reminder invitation;
  • Identify target clients attending;
  • Carry out research on key clients that have missing job titles within the system and updating InterAction;
  • Produce reports leading up to an event

Post-event:

  • Update the event folder in the database post-event with the clients who attended;
  • Produce online materials for each event for the London events team to send to clients post-event;
  • Carry out post-event analysis

  • Identify potential issues and propose solutions to the team, for example, provide suggestions/recommendations on an approach rather than asking for a solution

  • Develop skills to become a trusted advisor for the team by developing a full understanding of each InterAction step and the impact of the steps which allows the successful candidate to
    challenge processes and suggest improvements

  • Maintain and update the conflict document and InterAction searches

  • General housekeeping duties for InterAction

  • Maintain and update the InterAction event processes manual

Administrative support for events (20%)

  • Prepare event materials including speaker name places, signage, evaluation forms, chairman notes, feedback documents, etc. when required

  • Produce and send monthly diaries which are circulated to the London office. This includes liaising with the London Events team, and the Learning & Development team and checking regional diaries to produce nominations emails and circulate them to the Firm monthly

  • Liaise with the EMEA and global events team concerning forthcoming London events

  • Maintain and update the London events intranet page with information on forthcoming events

Analytical support (5%)

  • Produce data analysis on key events which helps the team to produce dashboards demonstrating the return on investment ("ROI")

  • Work independently and take full responsibility to produce and update regularly the events analysis document with key statistical information on all London events. Said document provides high-level updates to senior management

Ad hoc

  • Assist the London Events team with other tasks and projects as required e.g. producing event reports for client initiatives; collating feedback reports, researching and maintaining specific event folders with bespoke requirements e.g. updates to FTSE listings, etc

  • Assist the team with set up and registration for in-person events (ad-hoc)

Skills and Experience:

  • College or further education degree (desired but not essential for the right candidate)
  • Experience working in a marketing or business development environment in professional services is preferred.
  • Strong data management and database skills, ideally with InterAction, or a similar CRM system
  • Strong Word, Excel, and Outlook skills
  • Excellent written/oral communication skills at all levels: Essential
