The Information Product Management Assistant (Center) will assist with the effective procurement and management of all legal and business Information & Research (I&R) products and subscriptions, in alignment with the global and regional I&R strategies and the global Procurement strategy and guidelines. To assist the implementation of global I&R procurement and supplier/contract management guidelines.

To assist the Service Owner for Information Product Management, Manager for Information Product Management, Information Product Management Specialist and Regional I&R Leads and teams with the co-ordination of monitoring product usage and requests for new subscriptions, including preparing and updating user access lists for existing subscriptions. To assist with the implementation of strategic vendor management initiatives, strengthening relationships with key vendors, with an increased focus on value.

To assist with the implementation and maintenance of innovative technologies, assisting with the technical services aspects of coordinating online and hardcopy information resources and library services.


Service Orientation

  • Builds and nurtures strong relationships with other Center Information & Research teams, Procurement, Finance, Technology and Administration teams, Regional I&R Leads and teams and with external suppliers for regional and global information resources and products
  • Together with the Service Owner for Information Product Management Services, Manager for Information Product Management and Information Product Management Specialist assists with supporting Regional I&R Leads and teams, managing, negotiating and reviewing supplier contracts in accordance with Global Procurement policies and guidelines and budget parameters, and achieving global, regional and local office savings targets
  • Cultivates responsive, positive and productive relationships, delivering value through effective communication with stakeholders and key relationships, and promotes the I&R brand and services, and IPM policies and guidelines globally and regionally
  • Contributes substantively to the provision of Information Product Management services and by working on Knowledge projects and initiatives as required

Knowledge & Expertise

  • Understands, articulates and promotes the suite of I&R resources and products offered by the Firm (globally, regionally and locally), promoting their role, features and functionality to other Knowledge professionals, business professionals across other Functions and lawyers
  • Assists with the management of access requests and issues for the information product management products, trials of new products and reporting on the usage of existing products
  • Assists with the support and/or maintenance of I&R systems and provides other specified services to a high standard and seamlessly between all Centres and in-market I&R teams
  • Helps with managing the procurement of information resources and promotes and supports best practice standards for the procurement of local products and resources, in alignment with Procurement, Product Management and Collection Development policies and in collaboration with the Regional I&R Leads
  • Assists with the delivery of information resources and product outreach and training plans, including tailoring training to educate specific groups and meet specific needs. (e.g. new online web catalogue of information resources)
  • Participates significantly in the implementation of the global library management and monitoring systems to support information resource management and promotion, participating in the establishment of global standards, processes and guidelines for Information Products Management and library services
  • Co-ordinates information resources, online and hardcopy, liaising with vendors, agencies and in-market teams
  • Suggests improvements to Information Product Management and library services and I&R systems periodically to incorporate efficiencies, new procedures, upgrades and changes to the resourcing mix (e.g. online versus hardcopy)
  • Assists with implementing global and regional guidelines for new product requests, including business cases, trials and product assessments and feedback, and cancellations and rationalisations

People Management

  • Takes direction from the Service Owner for Information Product Management and the Information Product Management Specialist, when required and works collaboratively with other I&R business professionals as required, to assist in achieving strategic goals

Operational Efficiencies, Quality and Risk Mitigation

  • Acts as internal champion for Knowledge, I&R and information and research systems, and research products, ensuring all I&R business professionals and lawyers engage with them effectively
  • Assists with planning, scheduling, prioritising and delivering all routine and non-routine work and the effective delivery of information products and library Services enquiries and requests

Experience Required

  • Relevant undergraduate (library, information services, information management, etc.)
  • Relevant experience with library and information and research products in professional services environment; familiarity with library management systems desirable, including knowledge of overall library technical services operations, activities and processes
  • Ability to manage multiple stakeholders, build strong relationship virtually, communicate effectively, comfortable working in large, complex environment, credible and persuasive
  • Strong people and organizational skills; ability to prioritise and manage time to meet deadlines
  • Demonstrated ability to drive results and sense of urgency in executing against stated objectives
  • Proven ability to interact and consult with peers and other team members, strong collaboration skills and effective stakeholder management
