Description

The Team Lead - Finance, Intellectual Property (IP) will be responsible for supervising, leading and mentoring the Intellectual Property (IP) billing team; oversee the day to day operations of IP billing function; provide support to the IP Manager.

Responsibilities:

Operations Management

  • Provide daily supervision for team members; monitor team productivity; provide guidance and training as appropriate
  • Ensure members are fully aware of the need for high level of consistency and accuracy in their work
  • Ensure that the team carry out the following transactional and operational activities:
    • Review of Work in Progress (WIP), working with Partners to agree the services to be invoiced to clients on a regular basis
    • Agree with Partners the content and format of invoices to ensure that client expectations and requirements are met in conjunction with the firm's standardised billing procedures
    • Ensure that fees, soft costs, write offs and discounts are carefully managed in line with Partners' instructions
    • Prepare and communicate clear billing instructions to Billers to facilitate the preparation of bills as agreed with Partners, including any financial information and detailed schedules required to support invoices
    • Ensure that invoices are prepared by Billers within agreed Service Level Agreements so final bills are presented to Partners for forwarding to clients on a timely and accurate basis
    • Connect, where appropriate, with the e-Billing team to ensure client invoices are e-Billed to clients as agreed
    • Deal promptly with all enquiries relating to bills from Partners and clients
    • Manage the processing of credit notes and the re-issuing of bills where appropriate
    • Provide general support and advice to all responsible for issuing invoices, promoting efficiency and effectiveness at all times
    • Deal with miscellaneous duties to assist in the smooth running of the department
    • Assist other teams as and when cover is required
  •  Assist with smooth transitioning of new clients into the team from local offices

People Management

  • Conduct one-on-one discussions with the team members regarding individual daily performance when required
  • Provide necessary coaching and mentoring
  • Keep the Finance Manager fully informed of any issues

Ad-hoc projects and other scope

  • Recommend operational and process improvements
  • Ensure proactive application and utilisation of six sigma principles
  • Participate in special assignments and ad hoc projects

Qualifications and Experience

  • Extensive work experience within a large financial function, preferably within the legal industry
  • Good numeracy and literacy skills
  • Computer literate with excellent experience in Microsoft Office, including Excel, Word and Outlook
  • SAP experience desirable
